Advanced Association Management (AAM) is excited to welcome new non-profit associations to our client base this fall!  We are currently hiring for an Account Executive and Account Coordinator position. 

AAM is an independent contractor, which provides customized management services to associations.  The services provided are based on the needs of each association and can be changed and customized to meet the needs of each association as the association changes.  The Account Executive and Account Coordinator will work with the board of directors, committees and volunteers to assure quality education is delivered to attendees and assure a quality environment is delivered to the exhibitors. AAM staff will organize, plan and participate in all aspects of the planning for the meetings and training sessions, including recruiting exhibitors.  Join our team and help make a difference.  The AAM office is in Milford – 15 miles west of Lincoln, Nebraska.

Account Coordinator

The Account Coordinator will assist with the planning and management of multiple conferences, educational events and membership for statewide and local trade and non-profit associations.

Account Coordinator Responsibilities:

  • Supports the Account Executive with 4-5 non-profit accounts to ensure each milestone in the timeline is successfully met

  • Performs general clerical duties, including but not limited, to filing, photocopying, faxing, and mailing

  • Coordinates travel arrangements for key members of leadership

  • Proactively establishes and maintains highly organized filing system; files correspondence and other records

  • Coordinates calendars and schedules appointments, ensuring all parties are informed and kept abreast of schedules

  • Coordinates meetings, including but not limited, to preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and recording and transcribing meeting minutes

  • Assists with planning and managing multiple conferences and educational events for statewide and local trade and non-profit associations

  • Coordinates and participates in meetings with the Account Executive and clients to capture aspects of planning and implementation details of each event; budgets, printing timelines, mailing dates, participants, sponsors, exhibitors, etc.

  • Provides superior client service by being attentive, responsive to clients’ requests; initiates appropriate actions and event changes, as needed

  • Executes and monitors membership activities by tracking in the online system and assisting members with access and questions

  • Coordinates all aspects of association member services, assisting with board meetings, taking minutes, posting website content and social media management.

  • Anticipates problems and proactively manages the details

Account Coordinator Qualifications:

  • Bachelor’s degree or equivalent work experience

  • 1-2 years of success in account coordination/customer-client service experience required

  • Highly proficient in use of Outlook to manage email and multiple calendars

  • Proficiency in other Microsoft Office tools such as PowerPoint, Word and Excel

  • Keen analytic skills and demonstrated resourcefulness in problem solving

  • Excellent organization and project/event management skills

  • Outstanding attention to detail and quality

  • Superior written and oral communication skills

  • Ability to set and meet deadlines and manage multiple tasks simultaneously

  • Demonstrated ability to organize and prioritize tasks and to work well under pressure

  • Flexible team player who genuinely enjoys working with a diverse range of people, enjoys a fast-paced environment and works well independently

Job Type: Full-time; salary position; 8 am – 5 pm/Monday-Friday; requires some weekday/weekend/overnight travel.

Salary: $22,000 - $38,000/year starting wage based on experience

Account Executive

The Account Executive will have direct responsibility for management and oversight of all programs, including multiple conferences and educational events, for regional, statewide and local trade and non-profit associations.

Account Executive Responsibilities:

  • Project Manager for 4 non-profit accounts and will ensure each milestone in the timeline is successfully met

  • Board leadership support and liaison with board chair, executive committee and board including production of board agenda, support materials, and board meeting minutes.

  • Budgeting and oversight of financials.

  • Planning and execution of annual conferences and/or trade show including site selection, speaker selection, budgeting and marketing.

  • Oversight of membership campaign through the online client software; membership recruitment and retention oversight. Account Executive will assist members with access and questions.

  • Liaison with other industry trade associations and representation at national meetings. Attendance at industry trade shows and member events.

  • Preparation of newsletters, articles, memos and other communications to membership.

  • Proactively establishes and maintains highly organized filing system; files correspondence and other records.

  • Maintains a calendar and schedules appointments, ensuring all parties are informed of and kept abreast of schedules.

  • Coordinates and participates in meetings to capture aspects of planning and implementation details of each event; budgets, printing timelines, mailing dates, participants, sponsors, exhibitors, etc.
